Nonprofit Management Services of Colorado (NMSC) is seeking a Senior Payroll Specialist who will coordinate, process and perform payroll functions and payroll related reporting. These responsibilities include proactively ensuring the accuracy and timely completion of timekeeping activities relating to various stages of an employment record, including but limited to:

  • bi-weekly payroll processing
  • employee hiring or separations
  • updates to demographic data
  • salary adjustments
  • title modification
  • other payroll transactions and adjustments

Our Senior Payroll Specialist will ensure accurate employee labor distribution records, vacation and sick leave accrual, overtime and withholding status. This position will also develop and may implement internal policies and procedures and will comply with all government reporting requirements for payroll taxes, withholding and employer contributions. Lastly, our Senior Payroll Specialist may provide greater support in the absence of the Benefits & Payroll Manager and provide limited support related to benefit administration.

  • Responsible for the accurate and timely processing of bi-weekly payroll, on-line personnel and payroll transactions and maintenance of the payroll system
  • Provide payroll reports and or prepares documents as requested
  • Frequently use spreadsheet software in conjunction with payroll systems to create analytic reports
  • Frequently perform and review complex mathematical calculations in payroll processing and reporting
  • Proactively review payroll system and perform active data reconciliation, including but not limited to overtime utilization, time reporting entries and payroll related adjustments
  • Proactively adhere to wage and hour related regulations (e.g., as outlined in FLSA and DOL).
  • Annually process and review year-end tax documents (e.g., W2s, W2-Cs, independent contractor forms)
  • Proactively communicate with Payroll Manager, and/or HRIS contractor, to resolve database errors or concerns in order to maintain an accurate payroll system

Must haves to be our Senior Payroll Specialist

  • Minimum of three (3) years of experience in payroll administration, must include the maintenance and review of fiscal and payroll related records
  • Associate degree or a Payroll certificate related to payroll administration and processing may substitute for one year of the required experience
  • Working knowledge of payroll related best practices, applicable wage and hour regulations (per FLSA and or DOL), and strong ability to accurately interpret and apply organizational procedures, rules, and regulations
  • Demonstrated mathematical skills to calculate salaries, payroll documents, vacation and sick leave accruals, payroll changes, and complete other necessary forms
  • Intermediate or advanced Excel skills are required
  • Strong attention to detail and ability to perform complex analysis, gather data and produce complex reports
  • Ability to provide positive and professional customer service reflecting time-sensitivity and the highest degree of accuracy
  • Ability to work independently with minimal direction by being a self-starter in setting priorities and completing assignments with various deadlines on a timely basis
  • Demonstrated judgment and decision-making skill, ability to take initiative, be flexible, work as a team player, be proactive and follow-up; verbal, active listening communication skills and ability to communicate effectively and diplomatically
  • Strong writing skills to prepare concise, logical and grammatically correct correspondences, reports, policy guidelines and procedures
  • Ability to work flexible hours to include occasional evenings and weekends
